Location: • Position can be remote, but will need to reside within driving distance to one of these cities: Salt Lake City, UT or Dallas, TX. * * Please list your candidate's location in the submittal notes. • Ability to work remotely as well as in the office and travel up to 10-20% as needed (travel will be to SLC, Dallas, Tampa, or San Francisco). Job Purpose The Project Manager is an integral part of the Communications, Development, and Fulfillment (CDF) team. The project manager will work closely with the CDF team management as well as other departments such as client services and operations to fulfill project requests relating to the creation and delivery of our client and participant communications. The Project Manager supports the CDF PM team by working cross-functionally in analyzing, developing, and delivering business solutions to meet our internal and external client needs. Primary Duties and Responsibilities The Project Manager performs a wide range of duties including some or all of the following: Project Management • Responsible for requirements gathering & defining project scope and objectives • Manage all phases of CDF projects and develops detailed charters, project plans, schedules, project estimates, status reports, and processes to ensure stakeholder and client satisfaction • Develop detailed project scope, deliverables and milestones. • Conduct regular project meetings and is responsible for project tracking and analysis • Set deadlines, assigns responsibilities, and monitors and summarizes progress of project • Manage schedule of tasks and deliverables for the CDF team as well as cross-functional departments • May play a dual role as PM/BA on project initiatives. • Work with PM Manager to establish project priorities, resource assignments, and deadlines for project deliverables. • Assist the traffic manager as needed for JIRA tickets submitted to the CDF team. Analyzes tickets for accuracy, moves tickets to appropriate queues to be worked, and meet with requestor to gather additional scope and requirements information as needed. • Assist PM Manager with team resource management and capacity planning as necessary Business Analysis • Gather and understand business needs, determines, documents, and prioritizes requirements from the business and presents these requirements in a manner that is agreeable, measurable, and flexible enough to meet project needs. • Manage the organization and documentation of project deliverables that meet customer needs. • Analyze and document functional requirements, workflows, and business processes. • Elicit requirements using interviews, requirements matrix, use cases, scenarios, gap analysis, and business analysis. • Critically evaluate information gathered from multiple sources, reconcile conflicts, decompose high-level information into details, abstract up from low-level information to a general understanding, and distinguish user requests from the underlying true needs. Documentation • Document requirements and work flow diagrams with focus on process improvement. • Assist with the creation of test plans and UAT testing, documenting and tracking issues and ensuring timely issue resolution. • May provide assistance with documents and updates to documentation including user documentation and training materials. • Assists in the development, preparation, and analysis of reports for management review. • Data gathering, Workflow and Process mapping in MS Visio. • Documenting business processes and workflows, and working with other departments to determine how solutions can be delivered to support those processes and workflows. Qualifications Education- B.A. Degree in Marketing, Communications, or equivalent highly preferred. Experience, Knowledge, Skills and Abilities Required • 3-5+ years Project Management experience, PMP certification preferred • 2+ years Marketing, Communications, and/or Fulfillment experience preferred • Experience with Agile and SCRUM methodologies preferred • Experience in the Healthcare industry a plus • Demonstrate excellent project management, consulting, and problem-solving skills • Strong in oral and written communications to exchange information, explain procedures, techniques, and answer questions in a clear logical manner • Ability to manage client and stakeholder expectations while maintaining a good working relationship • Confident, proactive individual capable of managing multiple, concurrent projects • Ability to work independently as well as within a team with good conflict resolution skills • Ability to independently make decisions and reprioritize tasks to meet deadlines Proficiency in: • MS Office: o Word o Excel o PowerPoint o Visio - Process Mapping o Project • E-mail/Scheduling • Atlassian tools such as JIRA and Confluence • Smartsheet Personal characteristics The PM should demonstrate competence in all of the following: • Behave Ethically: Understand ethical behavior and business practices, and ensure that own behavior and the behavior of others is consistent with these standards and aligns with the values of the organization. • Communicate Effectively: Speak, listen and write in a clear, thorough and timely manner using appropriate and effective communication tools and techniques. • Make Decisions: Assess situations to determine the importance, urgency and risks, and make clear decisions which are timely and in the best interests of the organization. • Organize: Set priorities, develop a work schedule, monitor progress towards goals, and track details/data/information/activities. • Plan: Determine strategies to move the organization forward, set goals, create and implement actions plans, and evaluate the process and results. • Solve Problems: Assess problem situations to identify causes, gather and process relevant information, generate possible solutions, and make recommendations and/or resolve the problem. Working Conditions • Project Managers usually work in an office environment but the purpose of the project may sometimes take them to non-standard workplaces. • Project Managers work a standard work week but may be required to work some evenings and weekends to meet project milestones.
